Getting Started with Noteefy: Implementation Guide for Club Prophet Golf Courses

Welcome to Noteefy! This guide will help you get confirm turned on for your course, add your virtual assistant to your course’s website, and add your waitlist to your booking portal if you use Club Prophet for online bookings. By following these steps, your well on your way to generating more revenue for your course, increasing the efficiency of your course operations, and delighting your golfers with new ways to better engage your course.

Step 1: Activate the Noteefy Integration with Club Prophet

To begin, a representative at your course should initiate the integration:

  1. Contact Club Prophet Support or your dedicated Club Prophet Account Manager.
  1. Let them know: “We’d like to activate the Noteefy integration for our course. Please send me our API Key and Golf Course Name Noteefy will need for setup.”
  1. Once credentials are received, send to your CSM and Noteefy will finalize the integration from our side.

No technical configuration is required from your staff after this step. Also if you would like to have your CSM do this step on your behalf please let them know.

✅ Step 2: Set up Confirm

Noteefy Confirm helps reduce costly no-shows by automatically messaging golfers to confirm or cancel their tee times in advance. Follow these steps to activate the feature.

⚙️ Step 1: Activate Confirm in the Noteefy Admin Portal

Now that the integration is live, visit the Confirm configuration page of Noteefy and set up your configuration to your liking:

  1. (Optional) Toggle “Enable Cancellation Policy” if you want to prevent last-minute cancellations.
    1. Courses will often set this up to line up with their internal cancellation policies
  1. Customize the timing and content of your message templates:
    • Initial Confirmation (Recommended: 2–5 days prior)
    • Follow-Up Reminder (Recommended: 24–48 hours prior)
    • Cancellation Policy Notice (Optional: e.g., 4-24 hours prior to tee time)
  1. Customize the replies for Confirmed, Cancelled, Modified, or Failed requests
  1. Toggle ‘Enable Confirm Messages’ on and you’re all set!

🎓 Step 2: Make Sure Your Staff is Educated

  • Make sure your staff is aware of the timing of the messages and how to answer general questions about the functionality.
  • One important note to make sure the staff is aware: texts are not sent between 10PM–7AM golfer local time to avoid disruptions.
  • You can exclude specific rate codes from being sent Confirm messages. So if you have rate codes you would like to exclude, please share that with your CSM so we can get those excluded
  • For pre-paid rounds, Confirm does not automatically refunds the round in Club Prophet. Make sure your team knows how to do this if you have pre-paid rounds as part of your operation
    • NOTE: Club Prophet is making an update in an upcoming release of their software that will make it so pre-paid rounds do automatically refund

💡 Best Practices

  • Keep message tone friendly and consistent with your course branding.
  • Update your course phone number and website in the message fields.
  • Make sure staff understand how Confirm works with ForeUp tee times.

🖥️ Step 3: Add the Noteefy Widget to Your Home Page

Adding the Noteefy widget to your website opens the door for your golfers to begin interacting with your AI Assistant (or if you are using the classic waitlist experience ensures golfers can easily find and sign up for the waitlist).

How to Add the Widget:

  • Copy the widget script provided by your Noteefy Customer Success Manager.
  • Add the script to your website’s header section.
  • (If you use Wordpress or another CMS, paste the code in the Header area and click Publish to save your changes.)

Tip: Specifically for the waitlist, it’s also helpful to add other links (and pop-ups especially when first launching) to your site so people can easily navigate to the waitlist and pro shop staff have an easy wait to direct callers to it.

🔗 Step 4: Add a Waitlist Message to Your Booking Portal

Help golfers find your waitlist when no tee times are available by adding a clear link to your Club Prophet tee sheet.

Option 1: Add Info Cell on Tee Sheet (Ores v5 Only)

  1. Go to StarterHut → Online Bookings → Display → Information Cell.
  1. Add your waitlist message in the Information Cell:

    “Can’t find the time you’re looking for? Join Waitlist”

  1. Use your Noteefy Waitlist URL as the link.

Option 2: Add Message for No Available Tee Times

  1. In your Club Prophet Admin Portal, go to: StarterHut → Online Booking → Message Center
  1. Under No Tee Times Available, add this message:

    “There are no tee times available that meet your search criteria. Join the tee time waitlist and be the first to get notified when a tee time becomes available.”

  1. Hyperlink “tee time waitlist” to your Noteefy Waitlist URL.

📈 Best Practices

  • Test Your Widget & Link: Confirm that your widget is visible and the waitlist link works correctly on both desktop and mobile.
  • Train Your Staff: Make sure your golf shop team knows how to guide guests to the waitlist if their preferred time isn’t available.
