Welcome to Noteefy! This guide will help you get confirm turned on for your course, add your virtual assistant to your course’s website, and add your waitlist to your booking portal if you use Total E Integrated for online bookings. By following these steps, your well on your way to generating more revenue for your course, increasing the efficiency of your course operations, and delighting your golfers with new ways to better engage your course.
Step 1: Activate the Noteefy Integration with Total E Integrated
To begin, your course needs to request activation of the Noteefy integration:
- A course representative should contact Total E Integrated Support at support@totaleintegrated.com using the subject line “Noteefy: New Client ID & Secret Needed”
- Let them know: “We’d like to activate the Noteefy integration for our course. Please provide Noteefy with our Client ID and Secret so we can complete implementation”
- Total E will provide Noteefy with your Client ID and Client Secret.
- Once we receive those credentials, the Noteefy engineering team will complete the integration on our side.
No technical steps are required on your end once the credentials are shared.
✅ Step 2: Set up Confirm
Noteefy Confirm helps reduce costly no-shows by automatically messaging golfers to confirm or cancel their tee times in advance. Follow these steps to activate the feature.
⚙️ Step 1: Activate Confirm in the Noteefy Admin Portal
Now that the integration is live, visit the Confirm configuration page of Noteefy and set up your configuration to your liking:
- (Optional) Toggle “Enable Cancellation Policy” if you want to prevent last-minute cancellations.
- Courses will often set this up to line up with their internal cancellation policies
- Customize the timing and content of your message templates:
- Initial Confirmation (Recommended: 2–5 days prior)
- Follow-Up Reminder (Recommended: 24–48 hours prior)
- Cancellation Policy Notice (Optional: e.g., 4-24 hours prior to tee time)
- Customize the replies for Confirmed, Cancelled, Modified, or Failed requests
- Toggle ‘Enable Confirm Messages’ on and you’re all set!
🎓 Step 2: Make Sure Your Staff is Educated
- Make sure your staff is aware of the timing of the messages and how to answer general questions about the functionality.
- One important note to make sure the staff is aware: texts are not sent between 10PM–7AM golfer local time to avoid disruptions.
- For pre-paid rounds, Confirm does not automatically refund the round in Total E Integrated. Make sure your team knows how to do this if you have pre-paid rounds as part of your operation
💡 Best Practices
- Keep message tone friendly and consistent with your course branding.
- Update your course phone number and website in the message fields.
- Make sure staff understand how Confirm works with ForeUp tee times.
- Use the Noteefy Dashboard to monitor message engagement and optimize your strategy.
🖥️ Step 3: Add the Noteefy Widget to Your Home Page
Adding the Noteefy widget to your website opens the door for your golfers to begin interacting with your AI Assistant (or if you are using the classic waitlist experience ensures golfers can easily find and sign up for the waitlist).
How to Add the Widget:
- Copy the widget script provided by your Noteefy Customer Success Manager.
- Add the script to your website’s header section.
- (If you use Wordpress or another CMS, paste the code in the Header area and click Publish to save your changes.)
✅ Tip: Specifically for the waitlist, it’s also helpful to add other links (and pop-ups especially when first launching) to your site so people can easily navigate to the waitlist and pro shop staff have an easy wait to direct callers to it.
🔗 Step 4: Add a Waitlist Message to Your Booking Portal
Make sure golfers see your waitlist option when their preferred tee time isn’t available by adding an alert banner to your booking portal.
How to Add It:
- Email the Total e Integrated Support Team at their usual support address.
- In your email, request this:
“We have recently partnered with Noteefy. Please add the alert banner to the top of our booking portal: ‘Don’t see the time you are searching for? Join our Virtual Tee Time Waitlist [hyperlink your waitlist URL] and be alerted when your tee time becomes available!’”
- The Total e Integrated team will add the banner for you so that it displays at the top of your booking window.
📈 Best Practices
- Test Your Widget & Link: Confirm that your widget is visible and the waitlist link works correctly on both desktop and mobile.
- Train Your Staff: Make sure your golf shop team knows how to guide guests to the waitlist if their preferred time isn’t available.
- Promote It: Add the waitlist link to your course emails and social media to increase visibility.
