Getting Started with Noteefy: Implementation Guide for Club Caddie Golf Courses

Welcome to Noteefy! This guide will help you get confirm turned on for your course, add your virtual assistant to your course’s website, and add your waitlist to your booking portal if you use Club Caddie for online bookings. By following these steps, your well on your way to generating more revenue for your course, increasing the efficiency of your course operations, and delighting your golfers with new ways to better engage your course.

Step 1: Activate the Noteefy Integration with Club Caddie

For Club Caddie customers, this step is handled entirely by the Noteefy team! When building out your account, we will reach out to the Club Caddie team to get the necessary details we need to properly set up the integration between our systems. No work needed from you!

✅ Step 2: Set up Confirm

Noteefy Confirm helps reduce costly no-shows by automatically messaging golfers to confirm or cancel their tee times in advance. Follow these steps to activate the feature.

⚙️ Step 1: Activate Confirm in the Noteefy Admin Portal

Now that the integration is live, visit the Confirm configuration page of Noteefy and set up your configuration to your liking:

  1. (Optional) Toggle “Enable Cancellation Policy” if you want to prevent last-minute cancellations.
    1. Courses will often set this up to line up with their internal cancellation policies
  1. Customize the timing and content of your message templates:
    • Initial Confirmation (Recommended: 2–5 days prior)
    • Follow-Up Reminder (Recommended: 24–48 hours prior)
    • Cancellation Policy Notice (Optional: e.g., 4-24 hours prior to tee time)
  1. Customize the replies for Confirmed, Cancelled, Modified, or Failed requests
  1. Toggle ‘Enable Confirm Messages’ on and you’re all set!

🎓 Step 2: Make Sure Your Staff is Educated

  • Make sure your staff is aware of the timing of the messages and how to answer general questions about the functionality.
  • One important note to make sure the staff is aware: texts are not sent between 10PM–7AM golfer local time to avoid disruptions.
  • For pre-paid rounds, Confirm will trigger automatic refunds in Club Caddie. If a golfer cancels via Confirm, Pro Shop staff will need to issue refunds manually inside the Club Caddie system. Make sure your team knows how to do this if you have pre-paid rounds as part of your operation

💡 Best Practices

  • Keep message tone friendly and consistent with your course branding.
  • Update your course phone number and website in the message fields.
  • Make sure staff understand how Confirm works with Club Caddie tee times.

🖥️ Step 2: Add the Noteefy Widget to Your Home Page

Adding the Noteefy widget to your website opens the door for your golfers to begin interacting with your AI Assistant (or if you are using the classic waitlist experience ensures golfers can easily find and sign up for the waitlist).

How to Add the Widget:

  • Copy the widget script provided by your Noteefy Customer Success Manager.
  • Add the script to your website’s header section.
  • (If you use Wordpress or another CMS, paste the code in the Header area and click Publish to save your changes.)

Tip: Specifically for the waitlist, it’s also helpful to add other links (and pop-ups especially when first launching) to your site so people can easily navigate to the waitlist and pro shop staff have an easy wait to direct callers to it.

🔗 Step 3: Add a Waitlist Message to Your Booking Portal

Help golfers find your waitlist directly in the booking flow:

  1. In your Club Caddie Admin Portal:
    • Click the Settings Gear icon.
    • Navigate to the Tee Sheet Notes tab.
    • Click Add Note.
  1. Enter your waitlist note:
    • Select the start and end dates for when the note should be displayed.
    • Use this suggested message: “Don’t see the time you are searching for? Join our Virtual Tee Time Waitlist [hyperlink your Noteefy waitlist] and be alerted when your tee time becomes available!”
    • Click Save.

✅ This message will show at the top of your booking portal, making it simple for golfers to take action.

📈 Best Practices

  • Test Your Widget & Link: Confirm that your widget is visible and the waitlist link works correctly on both desktop and mobile.
  • Train Your Staff: Make sure your golf shop team knows how to guide guests to the waitlist if their preferred time isn’t available.
