AI Assistant Settings: General Configuration Guide

Use the General Settings tab to control your Virtual Tee Time Assistant’s welcome message, data sources, FAQ settings, and website syncing. This ensures the Assistant can respond with accurate, course-specific answers for your players.


Welcome Message

This is the greeting message golfers see when they open the AI Assistant.

To update the message:

  1. Go to: AI Assistant → Settings → General Settings
  1. Click the ✏️ icon next to the message
  1. Edit the text and save

Example Default Message:

"Hi there! 👋 Welcome to the AI Pro Shop Assistant. Is there anything I can help you find today?"

Tip: Use a tone that matches your course’s personality—friendly, helpful, and professional.


Last Data Update

This section shows the last time the AI Assistant synced data for each course at your property.

Each course listed includes:

  • Course Name
  • Last Sync Timestamp
  • Manual refresh button 🔁

To manually sync data:

Click the 🔁 icon next to the course name.

Keeping data up to date ensures the Assistant gives accurate answers about things like rates, policies, and amenities.

Two Important Notes:
  1. This automatically syncs once a week. If you make major changes to your site’s content, that would be a good time to run a refresh
  1. You can only run the manual sync once every four hours so make sure you have your content fully updated before hitting the sync button

FAQ Settings

This toggle allows you turn on/off the commonly asked questions that surface when someone starts a new conversation with your AI Assistant. Turn this setting off if the questions asked don’t align with questions that would commonly be asked at your course.


Course Data Sources

These URLs help the Assistant learn about your course by crawling your public website content.

For each course:

  • You can enter either:
    • A full website domain to crawl
      • This will crawl that URL and every page down in the ‘tree’ of that URL
    • A specific page URL (for more focused control)
  • You can toggle each course’s data collection Active or Inactive

To add a source:

  1. Paste the full URL or page path
  1. Click Add
  1. The Assistant will begin indexing content from that page

📌 Pro Tip: Only include URLs that have helpful course content (e.g., tee time rules, course amenities, policies, FAQs).

By default, our AI Assistants only crawl up to 500 pages of sites as the source of their information. If you have more than 500 pages, please reach out to your CSM directly to discuss options

✅ Best Practices

  • Update your welcome message to reflect seasonal or event-specific info.
  • Check sync dates regularly to make sure your Assistant has the latest details.
  • Limit crawled pages to high-quality sources to improve Assistant accuracy.
  • Your Assistant will only be as good as the content on your site. Make sure your existing content on your site is up to date and accurate (email addresses are correct, old events are removed, etc)
  • Contact your CSM if you’re unsure which pages to include.
