🧠 How Lead Export Works
Lead export gives Admins and Managers full control over how lead data leaves Noteefy. You can run a quick one-off pull from any lead table, or build a reusable Export Preset to save your column and filter settings — and eventually schedule recurring automated reports.
Every export starts from the table you're already viewing, so filters and column visibility are inherited automatically. The export panel then lets you fine-tune format, date range, and exactly which columns to include before you download.
Available to Admin and Manager roles only (agents do not see the Export button)
Supported formats: Excel (.xlsx), CSV, and JSON
Exports can be run from any lead table: All Leads, a specific form, or a Team view
⚙️ Running a One-Off Export from a Lead Table
One-off exports are the fastest way to pull data. Start from whatever table you're viewing and the export panel picks up your current settings.
Log in to your Noteefy Admin Portal and navigate to Lead Management.
Open the lead table you want to export — this can be All Leads, a specific form, or a Team view. Apply any filters or sort order you want reflected in the export before continuing.
Click Export in the action bar at the top of the table. The Export Configuration panel opens.
Configure your Output settings:
Set a File Name (Noteefy pre-fills one based on the form and date — you can keep it or rename it)
Choose a Format: Excel (.xlsx), CSV, or JSON
If exporting to Excel, optionally enable Split Statuses into Separate Sheets to break leads out by status in one workbook
Select a Date Range: All Time, Previous 7 Days, Previous 30 Days, or Custom
Choose a Date Range Source — the date field each lead is filtered against (e.g., Inquiry Received)
If you have saved presets, select one from the Preset dropdown to instantly populate all settings
Select your columns. All columns currently visible in the table are checked by default. Uncheck any you don't need, and drag to reorder them.
Review your filters. The table's active filters (status, assignee, tags) are inherited automatically. Adjust them here if needed before running.
Click Export. Your file will download with the correct name and all selected data.
⚙️ Creating and Managing Export Presets
Presets save your export configuration so you can reuse it across any table without reconfiguring each time. Automated scheduling is coming soon — once live, presets will also power recurring email delivery.
Log in to your Noteefy Admin Portal and go to Lead Management → Admin Settings → Export Presets.
Click + Create Export Preset.
Set a Source. Choose whether this preset applies to All Leads, a specific form, or a specific team. If you plan to use it across multiple tables manually, leaving it as All Leads works fine — the source setting is only enforced when the preset runs on a schedule.
Configure your Output, Columns, and Filters the same way you would for a one-off export. One difference: the column list here shows all available columns across all your forms. Columns that don't exist in a given table are simply skipped when the preset is applied.
Tip: For date ranges in presets, use relative options like Previous 7 Days or Previous 30 Days. That way, each time the preset runs it always covers the right window — rather than pulling the same fixed date range every time.
Save the preset. Give it a clear, descriptive name. It will now appear in the Preset dropdown on any table export, and if scheduled, will begin running automatically on the date you set.
To run a saved preset on demand at any time, click Run Export next to it in the Export Presets list.
💡 Best Practices
Use relative date ranges in presets — "Previous 7 Days" will always pull the right window when a preset runs automatically. Fixed start/end dates lock the export to a specific period and won't update over time.
Name your presets clearly — Include the audience and cadence in the name (e.g., "Weekly Pipeline – All Leads" or "QBR – Closed Won by Quarter") so the right preset is easy to find at a glance.
Applying a preset overwrites your current settings — If you apply a preset and then make changes, you'll see options to either Revert Changes (back to the preset) or Update Preset (save your changes back to it).
Split Statuses into Sheets is Excel-only — If you want leads broken out by status in separate tabs, choose Excel (.xlsx) as your format. This option won't appear for CSV or JSON exports.
