Setting Up a Custom “From” Email Address

By default, emails sent from the Noteefy platform come from a Noteefy address. But if you’d prefer that your golfers see your course’s email address in the “From” field — which can improve trust and open rates — you can set up a custom “From” email address.

This is a one-time setup that involves a small coordination between your team, Noteefy, and whoever manages your course’s domain (typically your IT team or website administrator).

How It Works

To send emails on behalf of your domain, Noteefy needs permission from your domain’s DNS settings. This is done by adding a special DNS record — a bit of behind-the-scenes code — that tells email providers “yes, Noteefy is allowed to send email from this address.” Without it, emails might get flagged as spam or fail to deliver entirely.

Don’t worry — you won’t need to understand the technical side of this. Here’s the straightforward version of what happens:

  1. You tell us the email address you want to send from

  2. We generate a DNS record and send it to you

  3. Your IT team or website administrator adds that record to your DNS provider

  4. Once it’s in place, we verify it and activate your custom “From” address

Not sure what a DNS provider is? It’s usually the company that manages your website domain — common providers include GoDaddy, Cloudflare, Namecheap, or Google Domains. If you’re not sure who manages yours, your IT contact or website administrator will know.

Step-by-Step Setup

Step 1: Decide on your “From” email address

Choose the email address you’d like golfers to see when they receive emails from the platform. This is typically something like [email protected] or [email protected]. It doesn’t need to be an active inbox — it just needs to be on your course’s domain.

Step 2: Share it with Noteefy

Send your desired email address to your Noteefy Customer Success Manager or email us at [email protected]. We’ll take it from there and get back to you with the DNS record you’ll need to add.

Step 3: Pass the DNS record to your IT team

We’ll send you a DNS record — it’ll look something like a line of technical text. You don’t need to understand what it says, just forward it along to whoever manages your domain or website. Ask them to add it as a new DNS record in your DNS provider.

This step can take anywhere from a few minutes to 24 hours depending on how quickly your IT team can make the update.

Step 4: Let us know when it’s been added

Once your IT team has added the record, give us a heads up. We’ll verify that everything is in place and activate your custom “From” address in the platform.

Frequently Asked Questions

Does the email address need to be a real, working inbox?

No. The email address just needs to be on your domain. Golfers won’t be able to reply to it unless you set up an inbox for it, but for outbound notifications and messages, a non-monitored address (like [email protected]) works perfectly fine.

Will this affect emails already being sent?

No. Existing emails will continue to go out without interruption throughout the setup process. Your custom address will be activated once everything is verified.

How long does the whole process take?

The setup itself is quick on our end — usually less than a day. The main variable is how quickly your IT team can add the DNS record. Once they’ve done that and let us know, we can typically verify and activate it the same day.
