Adding Leads Manually

Not every inquiry comes through a web form. Phone calls, emails, walk-ins, and referrals are all part of the business. Manual lead creation lets you add those inquiries into the same system so everything lives in one place.

When to Use This

Manual lead creation is designed for any inquiry that didn't come through one of your embedded web forms. Common examples:

  • A group coordinator calls the pro shop asking about tournament availability

  • You receive an email inquiry about a corporate outing

  • A guest mentions interest in booking a group event during a round

  • A colleague passes along a referral

How to Add a New Lead

From the All Leads page, click the Add New Lead button. The system will first ask you to enter some basic information about the person — typically their name and email.

Before creating a new record, it will search for any existing leads that match what you've entered. This duplicate check is there to make sure you're not accidentally creating a second record for someone who's already in the system.

You'll see a list of potential matches. If you recognize the person, click into their existing lead rather than creating a new one. If none of the results match, continue with creating a new lead.

From there, you'll be taken to a lead creation page where you can fill in the rest of the details — contact information, event specifics, dates, and anything else that's relevant to the inquiry.

Once you've filled out what you have, click Create Lead. The lead will now appear in your All Leads page just like any web form submission, and you can assign it, add notes, set reminders, and manage it through the same workflow.

A Few Things to Keep in Mind

  • You don't need every field filled out. If a phone call only gave you a name, phone number, and a rough idea of what they're looking for, that's enough to create the lead. You can fill in the rest as you learn more.

  • The duplicate check is your friend. It only takes a second and prevents messy data. Get in the habit of checking before creating.

  • Manual leads work exactly like web leads. Once they're in the system, there's no difference. They flow through the same stages, can be assigned to the same people, and show up in the same filters and exports.
